RFP Submissions for the Art Condition Assessment and Maintenance Plan

Executive Summary
As stewards of public art in Castle Rock, the Public Art Commission is responsible for ensuring the legacy of its art collection. Goal 6 of the Public Art Plan is to, “Take care of the public art collection by developing a maintenance and conservation policy,” and can be reviewed in Attachment A.
The action steps identified within the plan to accomplish this goal include creating a maintenance and conservation policy, creating a master inventory, conducting an art condition assessment, developing a 5-to-10-year maintenance plan and submitting the condition assessment report and plan to Town Council if appropriate.
At its September meeting, the Commission reviewed a draft Request for Proposals (RFP) for a condition assessment and maintenance plan and provided feedback. The final RFP (Attachment B) was then distributed to qualified individuals and firms including: Pacific Coast Conservation, Art Management Planning and Associates, Parker Art Conservation and Barbara Johnson. Two proposals were received from Pacific Coast Conservation (Attachment C) and from Art and Artifacts Collection Management (Attachment D).
Staff recommend that the Commission review and discuss the submissions and provide direction pertaining to the project’s interview and payment schedules as appropriate. If interviews are held, a motion will be required to host a special meeting on said date for the purposes of interviewing qualified firms to complete the work outlined within the RFP.
