Title
Creating a Master Art Inventory for Collection Management

Executive Summary
A key goal identified in the Council-approved Public Art Commission Public Art Plan, is to, “Take care of the public art collection by developing a maintenance and conservation policy.”
The first step towards accomplishing this goal is to create a master inventory that tracks consistent information overtime. This inventory can then be used for audits or assessments to eventually prepare, plan and budget for required maintenance and restoration work.
The Public Art Plans specifies that the inventory should contain the following details for each piece.
Staff recommends that Commissioners review the list and provide additions or changes. Staff will then proceed to begin the process of compiling the data for a master inventory.
Once complete, the Commission can then review the master inventory to determine best practices for its administrative management, as well discuss next steps for assessing the future maintenance needs of Town-owned art.
i. Acquisition documents and a unique accession number
ii. Curatorial information to include:
a. Artist’s name, address, phone numbers, e-mail address, website and biography
b. Title of artwork and date completed
c. Edition, if appropriate
iii. Purchase price and insurance value
iv. Narrative description of artwork
v. Other descriptive or identifying information
vi. Location of artwork
vii. Conservation information to include:
a. Materials and sources used in the artwork
b. Methods of fabrication and who completed the work
c. Installation specifications
d. Method and frequency of maintenance
viii. Administrative information to include:
a. Legal instrument of conveyance
b. Artist contract
c. Significant agencies or organizations involved in commissioned work and their roles and responsibilities
d. Significant dates
e. Permits and project costs
f. Insurance information
g. Photographic, architectural/engineering and media documentation
