Title

Update: Active Communications Plans

Body

Executive Summary

Community Relations has adopted the practice of creating a Communication Plan for significant Town undertakings, initiatives or major projects that require a level of public education in our community. Each plan is a roadmap developed in partnership with Town departments depending on the project or initiative to help residents understand the timing and need for Town projects that may have an impact on their daily lives.

Community Relations implemented 59 communication plans in 2016, more than 60 plans in 2017. For 2018, we have implemented 28 plans and of those 10 are complete, 6 are ongoing and 12 are current. Current plans are attached.

From time to time we will provide Council an update on communication plans that are being developed or are being implemented.

Discussion

Each communication plan identifies a major Town project or undertaking and then identifies the target audience. We then decide what messaging will be incorporated into a variety of platforms.

The Town platforms used to educate residents include news releases, print/direct mail, website, email, social media (Facebook, Twitter, Nextdoor, Instagram) videos, signage and more.

Examples of active communication plans include Meadows Parkway Reconstruction, the 2018 Pavement Maintenance Plan (PMP), Councilmember Bower’s Open House and more.

Attached for Council’s review is the master communications plan list along with communications plans that are currently underway.
