Executive Summary
Staff will provide several brief administrative updates before the Commission begins its primary discussion items, including:
Commission Vacancy Recruitment
Following former Chair Dana Frazee’s resignation, the Town opened an application period to fill the resulting Commission vacancy. Three applications have been received to date. The selected applicant will complete the remainder of the partial term ending May 31, 2027.
Staff recommends conducting interviews with the newly appointed Chair and Vice Chair participating on the interview panel. The panel will select its recommended candidate, and staff will then present the recommendation to Town Council for formal ratification and appointment.
Staff requests that the Commission confirm the interview panel and identify a preferred interview date and time.
Art and Culture Grant Review Panel
Several commissioners have confirmed their willingness to serve on the Art and Culture Grant Program review panel. Staff will confirm whether any additional commissioners are interested in participating before finalizing the panel.
Once membership is confirmed, staff would like to schedule a meeting later in October to review the upcoming grant cycle, including the program structure, application materials, scoring criteria, schedule and procedures. Staff anticipates bringing an update and any panel recommendations to the full Commission in November.
Staff requests that interested panel members identify a preferred meeting date and time.
Douglas County Art Encounters Program staffing update
Kim Smith, who has coordinated the Art Encounters Program for Douglas County since the program’s inception, recently resigned from her position. The program is primarily administered through the Douglas County Cultural Council, and the next steps and timing for assigning program coordination are not yet known. Staff will continue monitoring the transition and provide additional information when it becomes available.
Potential Cantril School Grounds Site Tour
Staff would like to determine whether the Commission is interested in holding a future meeting at Cantril School for the purpose of viewing the grounds in anticipation of future planning efforts. Subject to his availability, Parks Planner Matt Roth could provide an update on the Cantril School grounds master planning process, followed by a site tour. The meeting could potentially be scheduled in November or December, depending on staff and Commissioner availability and weather conditions. Staff requests the Commission’s general interest.
Boards and Commissions Appreciation Event
Commissioners should have received an invitation to the Town’s boards and commissions appreciation event from 5:30 to 7 p.m. Thursday, Oct. 29, at Bar Hummingbird, 6371 Promenade Parkway. Each commissioner may bring one guest. The event will include small bites, opportunities to visit with other board and commission volunteers, Town Council and staff liaisons and brief remarks beginning at 6 p.m. A cash bar will be available. RSVP’s are requested by 5 p.m. Friday, Oct. 16, using the link provided in the invitation.
