Discussion
Per usual procedure, the Commission will appoint its Chair and Vice Chair to serve an annual term. Each Board and Commission in Town shall appoint a Chair and Vice Chair officer from among its members by a majority vote at the first meeting.
The responsibility of the Chair is to preside over meetings and expedite the business of the agenda. The Chair shall sign correspondence on behalf of the Commission and may call a special meeting or cancel a regular meeting. The Vice Chair shall be empowered with the same duties and authorities as the Chair in the absence of the Chair.
In addition to electing a Chair and Vice Chair, as described in 2.14.030, the Commission will also elect a Secretary and a Treasurer:
The Secretary shall track meeting attendance and all motions and votes taken within the meetings. In coordination with all officers, the Secretary will also create talking points from meetings to share with Town Council.
The Treasurer shall create, manage and submit a proposed budget for the Commission, based upon funds allocated to the Commission within the Town's annual budget. The Treasurer will also create project cost estimations and track expenditures, in coordination with the Youth Commission Coordinator.
Voting for Chair
1. Staff asks Commissioners to express their interest in serving as Chair.
2. Interested Commissioners may make a statement of why they want to serve as Chair.
3. Staff distributes ballots to each member of the Commission to vote for one of the candidates.
4. Balloting continues until one candidate receives at least 5 votes. If no candidate receives 5 votes, the candidate with the lowest number of votes is dropped and a vote is taken again until a candidate receives 5 votes.
5. Staff announces who was elected Chair when a candidate receives 5 votes.
Voting for Vice Chair, Treasurer, Secretary
1. The Chair asks Commissioners to express their interest in serving as the specific role.
2. Interested Commissioners may make a statement of why they want to serve as that role.
3. Staff distributes ballots to each member of the Commission to vote for one of the candidates.
